Reports to County Director
Located at Putnam County Office

Qualifications

High school diploma

Administrative Certification or 2 years’ experience in Administrative Assistant position

Proficient, working knowledge of computer (database, Excel, Access, Word, etc.)

Excellent written communication skills

Detail oriented

Self-directed

Organized

Excellent interpersonal skills

Time management skills

Primary ResponsibilitiesThe Administrative Assistant provides clerical and office support to ensure a smooth flow of work within the County.

Job Description

  • Payroll

  • Track bills coming in county to ensure timely payment (write checks, obtain signature, mail) for all individuals for whom Pacesetters is Rep Payee (Putnam County Only)

  • Complete food stamp applications and provide information requested to the Food Stamp Office (a person’s food stamp certifications must not be allowed to expire).

  • Ensure each person’s petty cash is distributed when needed, and that individual purchases are consistent with the needs of the person supported

  • Complete all annual Rep Payee reports timely and return to the SSA, when requested.

  • Send bank statements to conservator’s, as requested.

  • Enter deposits for SSA, SSI, etc. monthly.

  • Monitor checking accounts and inform the County Director when a spend-down is needed.

  • Make any necessary deposits into person’s supported trust or burial accounts.

  • Ensure all funds, checkbooks, & financial records are stored in a secure, locked location & are double locked.

  • Answer phones (AA #2 is backup for breaks, lunch, time off, etc. You are backup for AA #2)

  • Provide general clerical/administrative support (i.e., general typing, Excel spreadsheets, copying, and filing)

  • Maintain files and records (including obsolete records, general information records)

  • Check in/out assigned Wal-Mart & Dollar General cards for staff to shop for person supported homes

  • Maintain receipts for all card purchases and prepare PO’s to submit to Business Office

  • Enter Persons’ Supported receipts on Shared Expense Report and generate invoices at month end for their share of groceries

  • Other responsibilities as assigned
